Essential Job Functions:
- Oversee Office Administrator (OA) Staff
- Coordinate Coverage for Offices When Staff Members are Out
- Fill in where needed on OA Duties including Greeting Clients, Answering Phone, Sorting Mail, Entering Business
- Maintain a Good Rapport with Clients as well as Staff Members
- Prepare Overnight Mail
- Coordinate Opening and Distributing Mail; Determine Items that Need to be Logged
- Develop Daily Incoming Client Correspondence Log and Track Office Logs
- Receive Overnight Mail and Faxes
- Enter and Forward Checks and Stock Certificates
- Distribute and Enter Trade Confirmations
- Collect and Distribute Voice Messages from General Mailbox
- Maintain Stock Room and Organization of Mail Room
- Order Office Supplies, Shipping Supplies and Stamps
- Maintain Postage Meter Machine
- Communicate with Operations and Disciplines Departments on Upcoming Changes
- Coordinate Training for OA
- Review/Approved Paid Time Office Requests
- Perform Ad-Hoc Assignments as Requested by Manager, Regional Manager or Senior Vice Presidents
- All Other Tasks Assigned
Education/Knowledge & Skills:
- High School Diploma/GED
- Strong Written and Verbal Communication Skills
- Proficient in Microsoft Word, Excel, and PowerPoint
- Possess Leadership Qualities
- Basic Database Skills
- Must Have a Strong Work Ethic
